Business Central for Consulting | Case study

Discover how Microsoft Business Central with the Pryme Professional Services Package unifies Fellowmind Sweden’s project methodology across all services.

Who’s Fellowmind?

Fellowmind is a leading European Microsoft partner group with a strong focus on helping organisations thrive through digital transformation. With around 2,000 employees across Europe — and over 400 in Sweden — the team’s mission is to make people enjoy working with technology and make technology work for them. Their close collaboration with Microsoft enables them to deliver innovative, human-centred solutions for customers in diverse industries.

Vision & Challenge

As a fast-growing consultancy with multiple business units, Fellowmind Sweden wanted one way of working for all their offered services. One project methodology. One platform.

The goal was to support every type of project: short Modern Work engagements, long Dynamics 365 Finance implementations, integration and projects, and recurring mixed teams coming from different business units with internal staff and external consultants.

Fellowmind Sweden wanted a structure that would scale with growth across business unites, across countries and across new acquisitions.

One Project Methodology for all Projects

Advanced Projects gives Fellowmind Sweden a common project model that fits every scenario. The same method supports projects of very different characteristics, sizes and lengths.

Project managers can:

  • Create projects through a guided wizard
  • Apply the same structure across business units
  • Use tasks and work types in a consistent way
  • Run both small and very large projects in the same framework

Professional Services at Scale

Fellowmind is a fast-growing consultancy. New people join, new teams form, and new services appear. The company needs a platform that grows with them.

Advanced Projects supports a wide range of project and billing models – time and materials, fixed price, Microsoft-funded proof of concepts, and recurring services. WIP is calculated across all of them, giving Finance real time profitability. Project managers work in one place. They create projects, track work, and generate invoices directly from Business Central.

Strong invoice control keeps billing consistent across business units as the organisation grows. All this lets Fellowmind grow without changing platform or processes.

Time Reporting that fits every Consultant

Time reporting is both central and a constant challenge to consulting work. As part of the Pryme Professional Services Industry Package, Pryme Time makes time entry flexible and simple. Each consultant can choose the option that fits how they work:

  • Line or matrix view for straightforward daily reporting
  • Time tracker for multiple assignments
  • Outlook based time entry for calendar-driven work
  • Importing time from planned work assignments
  • Importing Teams calls into time sheets
  • Getting help from Copilot to fill in the time sheet gaps

Each consultant can choose the option that fits how they work. Helpdesk consultants handling many short tickets, consultants working at a customer’s office full time, and project consultants on long running assignments can all report time in a way that suits them best. At the same time, the rules for when and how to report time, vacation, and absence stay consistent across the whole organisation.

Resource Planning and daily Ownership

Fellowmind is extending its use of Resource and Budget Planning. Project managers can create structured work assignments for their teams. Consultants will be able to import these assignments directly into their time reports.

This supports two goals. First, it strengthens individual ownership of planning. Second, it gives project managers a clear view of capacity and workload.

Structured Management of External Resources

External consultants are an important part of Fellowmind’s delivery model. Some are Fellowmind colleagues from other countries. Some are third-party specialists.

Pryme Project Subcontracting generates statements that show exactly what each consultant should invoice. It also matches incoming invoices against approved statements.

This creates clear control, reliable cost tracking, and an audit ready trace for external spend.

Real-time Insights for a Growing Business

Fellowmind uses a data warehouse and Power BI to analyse performance. Because of similar table structures, they can combine data from Business Central and their previous system Navision. Projects that started in the old system and continue in Business Central appear as one continuous story in reports. All in one place.
